How Everna Bookkeeping protects your confidentiality and handles personal information collected through this website.
1. Who we are
This website is operated by Expert Accounting Inc., an incorporated Alberta company, operating under the name Everna Bookkeeping ("Everna", "we", "us"). 2. Our commitment to confidentiality
Bookkeeping is a trust business. Any information you share with us — through this website, by email, on a call, or in the course of an engagement — is treated as confidential. We do not sell, rent, or trade your information, and we do not disclose client information to third parties except as described in this policy, as required by law, or with your written authorization. Where we work alongside your CPA firm, accountant, or finance team, we share information only within the scope you have agreed.
3. Information we collect through this website
When you submit our enquiry form or the service-finder tool, we collect the information you choose to provide: your name, company, business email, optional phone number, the type of customer you are (CPA firm, finance team, or small business), the accounting software you use, your approximate transaction volume, whether your books are current, and the content of your message. We also receive standard technical information that any website receives, such as your IP address and browser type, through our hosting provider's server logs.
4. What this website does not collect
This website does not accept uploads of financial documents, does not ask for accounting software passwords or login credentials, and does not connect to your Sage, QuickBooks, or bank accounts. Please do not send sensitive financial information, passwords, or government identification numbers through the enquiry form. Access to your accounting records, where an engagement proceeds, is granted by you directly inside your own software under its permission controls — never through this website.
5. How we use your information
We use the information you provide to respond to your enquiry, assess the scope of work, prepare a written proposal, and — if you engage us — to deliver and administer our services. We may also use it to meet legal, accounting, and regulatory obligations. We do not use your information for unrelated marketing without your consent, and we do not use automated decision-making that produces legal or similarly significant effects.
6. AI-assisted service recommendations
If you use the service-finder tool, the text you enter is processed by an AI service solely to suggest which Everna services may fit your needs. The tool only selects from our published list of services; it does not make decisions about you, and no prices or commitments are generated. Do not include personal financial data in your description.
7. Where your information is stored
Enquiry information is handled through our website hosting and business email providers. Once an engagement begins, your financial records remain in your own accounting platforms (such as Sage or QuickBooks); we work within those systems under the access you grant, and we do not maintain a separate copy of your books on this website.
8. Sharing and service providers
We share personal information only with the service providers needed to operate this website and our business communications (for example, website hosting and email), who may process information on our behalf under appropriate safeguards. Some of these providers may store or process information outside Canada, where it may be subject to the laws of those jurisdictions. We do not otherwise disclose your information except with your consent or where required or permitted by law.
9. Retention
We keep enquiry information only as long as needed to respond to you and, where an engagement follows, for the duration of the engagement plus any period required by law or professional record-keeping obligations. When information is no longer needed, it is securely deleted or anonymized.
10. Safeguards
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold, including limiting access to those who need it for their work. No method of transmission or storage is completely secure, but we work to protect your information against loss, unauthorized access, and misuse.
11. Your rights
Under Alberta's Personal Information Protection Act (PIPA) and, where applicable, the federal Personal Information Protection and Electronic Documents Act (PIPEDA), you may request access to the personal information we hold about you, ask for corrections, and withdraw consent to our use of it (subject to legal and contractual limits). To exercise any of these rights, contact us at clients@everna.com. We will respond within the time required by law.
12. Cookies and analytics
This website uses only the cookies necessary for it to function. We do not use advertising trackers. If we add analytics in the future, this policy will be updated to describe them before they are enabled.
13. Changes to this policy
We may update this policy from time to time. The current version is always posted on this page with its effective date. Continued use of the website after a change means you accept the updated policy.
